1. Who we are
AnytimeInterview ("we", "us", "our") is operated by Social Club Ventures Pty Ltd (ABN 77 605 099 584), based in Queensland, Australia. We provide an AI-powered video interview platform that conducts live, interactive interviews with candidates on behalf of our customers (employers and recruitment agencies).
This policy explains how we collect, use, store, and disclose personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Where we process personal data of individuals in the European Economic Area or the United Kingdom, we also comply with the GDPR and UK GDPR as described in Section 12.

2. Our two roles
We handle personal information in two distinct capacities:
- As a provider to our customers. When an employer or agency uses our platform to interview candidates, the customer determines why and how candidate information is processed. We process that information on the customer's behalf and instructions (in GDPR terms, the customer is the controller and we are the processor).
- In our own right. For customer account holders, billing, website visitors, and platform operations, we determine the purposes of processing and act as the controller.
Candidates who have questions about why they were invited to interview, or how their results are used in a hiring decision, should contact the hiring organisation directly. We will assist customers in responding to such requests.
3. Information we collect
Candidates:
- Identity and contact details supplied by you or the hiring organisation (name, email, phone)
- CV / application materials, where provided to the platform
- Interview video and audio recordings captured during your live AI interview
- Interview transcripts generated from those recordings
- AI-generated interview outputs, including follow-up questions asked, competency scores, and assessment summaries
- Technical data (device type, browser, IP address, connection quality metrics) needed to run the interview
Customer account users:
- Name, work email, organisation, role
- Authentication data (credentials or SSO identifiers)
- Billing information (payment card details are collected and held by Stripe, not by us)
- Usage and log data
Website visitors:
- Essential cookies as described in Section 10
We do not intentionally collect sensitive information (e.g. health, racial or ethnic origin, political opinions). Interview recordings may incidentally capture such information if a candidate volunteers it; we do not use it for any purpose and customers are instructed not to solicit it.
4. How AI is used in interviews
Our interviews are conducted by an AI interviewer in real time. Before your interview begins, you will be asked to consent to the recording and AI processing described below. This means:
- Your spoken answers are transcribed live using speech-to-text technology (Deepgram)
- Transcripts are processed by a large language model (Anthropic) to generate dynamic follow-up questions and, after the interview, competency scores against criteria set by the hiring organisation
- The AI interviewer's voice is generated using text-to-speech technology (ElevenLabs); the audio sent to this service is our own question text, not your personal information
Automated assessment. AI-generated scores and summaries are provided to the hiring organisation as decision-support material only. Hiring decisions are made by people at the hiring organisation, not solely by automated means. You may ask the hiring organisation for information about how your interview was assessed.
We do not use candidate recordings, transcripts, or assessments to train AI models, and we configure our AI service providers so that your data is not used to train theirs.
5. Why we collect and use information
- To conduct and record interviews as instructed by the hiring organisation
- To generate transcripts, follow-up questions, and competency assessments
- To provide, secure, and improve the platform
- To manage customer accounts, billing, and support
- To send transactional communications (e.g. interview invitations, receipts) via our email provider
- To comply with legal obligations
We do not sell personal information. We do not use candidate data for advertising.
6. Third-party processors
We use the following service providers to deliver the platform. Each processes personal information only to provide their service to us:

7. Cross-border disclosure (APP 8)
Some providers above are located outside Australia, principally in the United States. Interview audio and transcript text are transmitted to US-based providers for transcription and AI processing. Interview recordings are stored in the Asia-Pacific region, and our primary database is hosted in Sydney, Australia.
Before disclosing personal information overseas, we take reasonable steps to ensure recipients handle it consistently with the APPs, including contractual data-protection commitments. For EEA/UK personal data, transfers rely on Standard Contractual Clauses or equivalent safeguards.
8. Retention
- Interview recordings, transcripts, and assessments are retained for 12 months after the interview, or until the hiring organisation deletes them or instructs deletion, whichever is earlier
- Customer account data is retained for the life of the account plus 7 years for legal and accounting purposes
- Billing records are retained as required by Australian tax law
Candidates may request deletion via the hiring organisation or directly (Section 11); we will action verified requests except where retention is legally required.
9. Security (APP 11)
We take reasonable steps to protect personal information, including encryption in transit (TLS) and at rest, access controls, credential management, and monitoring. Recordings are stored in access-controlled object storage and are not publicly accessible. No system is perfectly secure; we will notify affected individuals and the OAIC of eligible data breaches in accordance with the Notifiable Data Breaches scheme.
10. Cookies
We use only cookies that are necessary for authentication and platform function. We do not use advertising or third-party analytics cookies. You can control cookies through your browser settings; disabling essential cookies may prevent the platform from working.
11. Access, correction, and complaints (APP 12 and 13)
You may request access to or correction of personal information we hold about you by contacting privacy@anytimeinterview.com.au. We will respond within a reasonable period (generally 30 days). Where we process information on behalf of a hiring organisation, we may refer your request to them and assist their response.
If you have a complaint about our handling of your personal information, contact us first. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
12. GDPR / UK GDPR
If you are in the EEA or UK:
- Legal bases. We process personal data on the basis of: consent, which you provide before your interview begins; performance of a contract (customer accounts, billing); legitimate interests (platform security, service improvement); and, for candidate interview data processed on behalf of customers, the customer's instructions under their own legal basis.
- Your rights. Access, rectification, erasure, restriction, portability, objection, and withdrawal of consent. Contact privacy@anytimeinterview.com.au; where we act as processor, we will refer or assist as appropriate.
- Automated decision-making. See Section 4. Assessments are decision-support only; hiring decisions are made by people at the hiring organisation.
- Transfers. Safeguarded as described in Section 7.
13. Children
The platform is intended for working-age candidates and is not directed at children under 16. We do not knowingly collect children's personal information.
14. Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top reflects the current version. Material changes will be notified to customer account holders by email.
